Privacy Policy

Providence Academy is a classical Christian school in St. Louis, Missouri, serving families from PreK through 12th grade. We believe parents hold the primary responsibility for their children’s education, and we take seriously the trust families place in us when they share information with us. This policy explains what information we collect through our website, providencestl.org, and through our online forms and advertising, how we use it, and the choices you have.

Information you share with us

Most of the information we hold comes directly from you, when you choose to give it to us:

  • Inquiry and admissions forms. When you request information, schedule a visit, or begin an application, we ask for things like your name, email address, phone number, mailing address, and your children’s names, ages, and grade levels. These forms are hosted by FACTS, our student information system.
  • Event RSVPs. When you RSVP for Preview Night or another event, we collect your name and contact information, and sometimes the ages or grades of the children you expect to enroll.
  • Social media lead forms. When you respond to one of our advertisements on Facebook or Instagram, Meta may offer a form that is pre-filled with information from your profile, such as your name, email address, and phone number. When you submit that form, Meta shares the information with us.
  • Newsletter sign-ups. If you subscribe to our email updates, we collect your name and email address.
  • Correspondence. When you email or call us, we keep a record of the conversation so we can follow up well.

Information collected automatically

Like most websites, providencestl.org collects some information automatically as you browse:

  • Analytics. We use Google Analytics to understand how visitors find and use our site, including the pages viewed, the approximate location of visitors, the device and browser used, and the site that referred you. Google Analytics uses cookies and similar technologies to do this. You can learn how Google uses this data at policies.google.com/technologies/partner-sites, and you can opt out with the Google Analytics opt-out browser add-on.
  • Advertising measurement. We may use tools from Meta (Facebook and Instagram) to measure whether our advertisements lead families to visit our site or RSVP for events, and to show our advertisements to people whose interests suggest they may want to hear from us. These tools may use cookies or a small piece of code on our site. You can manage how Meta uses your information for advertising in your Facebook ad preferences.
  • Server logs. Our web host records basic technical information such as IP addresses, browser type, and the time of each visit, which helps keep the site secure and working properly.

Most browsers allow you to refuse or delete cookies. Doing so will not keep you from using our site, though some features may not work as expected.

How we use your information

We use the information we collect to:

  • Respond to your inquiries and walk with you through the admissions process;
  • Confirm your event RSVPs and follow up afterward;
  • Send you news and updates about Providence, if you have asked for them;
  • Understand how families find us so we can be good stewards of our communications and advertising;
  • Keep our website secure and improve how it works;
  • Meet our legal and recordkeeping obligations.

We do not sell your personal information, and we do not share it with other organizations for their own marketing.

Who we share information with

We share information only with the service providers who help us do our work, and only as needed for that work:

  • FACTS, which hosts our inquiry, admissions, and enrollment records;
  • Google, which provides our website analytics and the Google Workspace tools we use for email and documents;
  • Meta, which delivers our social media advertisements and lead forms;
  • Our email service provider, which sends our newsletters and updates;
  • Our web host and website developer, who keep providencestl.org running.

These providers are permitted to use your information only to provide their services to us. We may also disclose information when the law requires it, or when necessary to protect the safety of our students, families, and staff.

Children’s privacy

Our website and our advertising are directed to parents and guardians, not to children. We do not knowingly collect personal information online from children under 13. Information about children, such as a child’s name, age, and grade, is provided to us by parents and guardians as part of the inquiry and admissions process, and we use it only for that purpose. If you believe a child has submitted information to us directly, please contact us and we will remove it.

Your choices

  • Email. Every newsletter or update we send includes an unsubscribe link, and you may also ask us directly to stop contacting you.
  • Your information. You may ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. We will honor these requests unless we are required to keep certain records.
  • Cookies and advertising. You may use the browser settings, the Google opt-out tool, and the Meta ad preferences described above.

How we protect and keep information

We take reasonable steps to protect your information from loss, misuse, and unauthorized access, including limiting access to the staff who need it. No method of transmission or storage is entirely secure, but we work with established providers and review our practices regularly. We keep inquiry and event information only as long as it is useful for serving your family; records of enrolled students are kept according to our school records policies and applicable law.

Links to other websites

Our site links to other websites, such as FACTS, our social media pages, and resources we recommend. Those sites have their own privacy practices, and this policy does not apply to them.

Changes to this policy

We may update this policy from time to time as our practices or the law change. When we do, we will post the revised policy here and update the effective date above.
